Admissions & Staff Recruitment Manager

Remote · Full-time

About The Position

As Admissions & Staff Recruitment Manager, you'll get the right people into place — both the students who come to our camps and the staff who make them run. You'll manage hiring for our counselor and faculty-in-training roles (e.g. apprentice faculty) as well as camper admissions. 


These two halves of the job are different in character. Staff recruitment includes a lot of direct interaction with candidates, and ownership of the full process from advertising the positions through onboarding. Camper admissions is more limited in scope: you’ll be managing the application and decision-making process, with others responsible for advertising, customer service, and the enrollment process. 


The year has a strong seasonal rhythm. Fall is for projects, process design, and preparing for the spring. Spring is go-time — admissions and hiring run simultaneously, and it's the most demanding stretch of the year. Late spring shifts toward staff onboarding as decisions wrap up. In the summer, you'll either take an on-site camp role or join the HQ support team.

At National Math Camps, we believe that summer math camps provide transformative experiences that deeply strengthen students' mathematical knowledge and identity. Many of today’s premier mathematicians and scientists point to their participation in math camps as a critical step in their mathematical journeys. It is in these immersive programs that they discovered the beauty and joy of mathematics in a tight-knit community of other “mathy” students and decided to pursue careers that push innovation in the STEM fields. 


Yet, the demand for rigorous math camps in the U.S. far exceeds the available opportunities, leaving many talented students without access to these life-changing experiences. We’re here to change that. Our mission is to ensure that all mathematically talented students have access to rigorous summer programs where they can thrive.

What You'll Do

Fall - Staff Recruitment

  • Build the returning-staff pipeline. Develop and run programming that keeps past staff engaged, brings them back, and prepares them for larger roles.
  • Hire and train a first-round interview team. Recruit past staff to conduct initial interviews for counselor and faculty-in-training candidates, and train them to evaluate consistently.
  • Refine the hiring process. In consultation with HQ and camp leadership, decide what changes to make to job descriptions, recruitment strategy, and interview structure — then update the materials and workflows to match.
  • Run the post-camp review and rehire cycle. Coordinate performance reviews and rehire / promotion decisions for counselors and faculty-in-training. 
  • Grow our recruiting network. Build relationships with people and organizations who can spread the word about our summer positions, including attending conferences like the Joint Mathematics Meetings (January) and MathFest (August). 
  • Own our recruiting systems. Manage the applicant tracking system and, with HQ leadership, test ways to make recruitment and admissions less manual as we grow.
  • Assist with Camp Leadership hiring. Support the hiring process for camp leadership roles as time permits, including configuring the position in the ATS, posting on job boards, scheduling interviews, and communicating with candidates.


Fall - Camper Admissions

  • Refine the application and review process. In consultation with HQ and camp leadership, decide what changes to make and update the materials and workflows accordingly.
  • Build the problem sets and rubrics. Partner with the Head of Academics and Academic Directors to develop application problem sets and scoring rubrics.
  • Hire and train the review team. Recruit past staff to score problem sets and conduct initial application review.
  • Launch the alumni-only December round.
  • Own the application platform.


Spring - Staff Recruitment

  • Run hiring for every counselor and faculty-in-training position. Schedule interviews, communicate with candidates, conduct first-round interviews and manage the interviewer pool, make reference calls, send offers, and monitor pipelines — troubleshooting when a role is at risk of going unfilled.
  • Get the word out. Reach into math communities, alumni networks, and other channels to bring in candidates.
  • Onboard incoming faculty and staff. As hiring and admissions wind down, shift into onboarding: background checks, I-9 verifications, HRIS setup, documents for signature, photos and bios, and required trainings.
  • Get people to camp. Help faculty and staff book travel and confirm they have everything they need before arrival.


Spring - Camper Admissions

  • Manage the admissions pipeline. Track in-progress applications, coordinate initial review and problem set scoring, and support the camp leadership team through final decisions.
  • Build and maintain admissions dashboards that track applicants and enrollments, and flag issues early.
  • Support the customer service team on questions related to admissions.


Summer

  • Join camp or support from HQ. You'll either serve in an on-site camp role or join the HQ support team, which mixes remote on-call shifts with camp visits. We'll decide together based on organizational needs and your preference.

What We're Looking For

Experience & Background

  • Strong math background at the bachelor's or master's level.
  • Familiarity with the math enrichment ecosystem, and some teaching experience in a math enrichment setting.
  • Experience as a student or staff member at a math summer program is strongly preferred.
  • Experience with administrative, customer service, or project and people management work.
  • Early-career candidates are encouraged to apply; prior full-time work experience is not required.


Skills & Attributes

  • Organized, reliable, and detail-oriented — the kind of person who notices when a candidate has slipped through the cracks, and takes action both to solve the immediate issue and prevent it happening in the future. 
  • Sound judgment and discretion with sensitive information. You'll handle applicant files for minors, background check results, reference conversations, and hiring decisions.
  • Strong written, verbal, and interpersonal communication. Much of this job is high-volume correspondence with nervous applicants, busy faculty, and families.
  • Quick to learn new technology, and inclined to look for tools that make a workflow less manual.
  • You thrive on complex spreadsheets and enjoy digging into data. As we grow, we expect thousands of camper applicants and hundreds of staff applicants each year, and you'll be the person who can turn that data into answers that the team can act on. 
  • Comfortable in a small, growing organization where infrastructure is still being built, and proactive about naming problems and proposing fixes.

This is a US-based remote full-time position with occasional travel during the academic year and significant travel during the summer (mid-June to early August) when camps are in session. The salary range for this position is 65 - 80k, depending on experience. Here are some things you can look forward to:
